Privacy Policy

Wahouse ("Wahouse", "we") is a rental property management tool for landlords. This policy explains what we collect, why, where it is stored, how long we keep it, and what rights you have.

1What we collect

  • Account information: the e-mail address you sign in with and the nickname you set. If you sign in with Google, Apple or LINE, we only receive the account identifier they provide (plus the e-mail and name, if they provide them). We never see your password for those services.
  • Business data you enter: properties (name, address, layout and size, photos, purchase and loan details), leases, scheduled and recorded income and expenses, maintenance orders and vendor contacts, and document files.
  • Information about other people that you enter: tenants' names, phone numbers, ID document numbers and photos, guarantors and emergency contacts. You enter this as the landlord — please read section 3.
  • Device and push notifications: after you accept this policy, the app obtains your device's push identifier (Push ClientID), device model and OS version to deliver due-date and overdue reminders. Nothing is obtained before you accept.
  • Logs: IP address, time and request records, used for security and troubleshooting.

We do not collect location, contacts, microphone or advertising identifiers (IDFA / GAID). Camera and photo access is requested only when you choose to take or pick a photo.

2How we use it

  • To provide bookkeeping, reminders and reports: working out occupancy, amounts due, yields and tax reference figures.
  • To send sign-in codes by e-mail.
  • To send overdue and due-date push reminders: at most one summary per person per day, and it includes the number of overdue items and the amount owed. To keep amounts off your lock screen, hide notification previews in your system settings.
  • For security and abuse prevention: sign-in rate limits and detection of abnormal requests.

We never sell your information, never use it for advertising or profiling, and never use your data to train any AI model.

3Tenants' and other people's information (the most important section)

When you enter information about tenants, guarantors or emergency contacts, you are the one collecting it and you are responsible for it; we store and process it on your instructions. Make sure you have informed those people and obtained any consent required by law, and enter only what you need to manage the tenancy.

  • ID document numbers are always masked in lists and rosters; the full number is shown only when you open that tenant's detail page yourself.
  • ID photos load only when you open them on that tenant's detail page yourself. Their file addresses are randomly generated and never appear in any list or public page.
  • For Japanese properties we do not collect My Number (individual numbers): under Japan's My Number Act, landlords may not ask tenants for them.

If someone asks you to access, correct or delete their information, you can view it on the tenant's detail page. Tenant records can only be archived in the app, not edited or deleted individually; to correct or delete them, contact support@wamate.net and we will help after verifying the request.

4Third-party services

  • uni-push (DCloud) / GeTui (Every Interaction Co., Ltd.): push delivery. Collects the push identifier, device model and OS version.
  • Alibaba Cloud: servers, database and file storage, located in Tokyo, Japan.
  • E-mail delivery service: sends sign-in codes; handles only your e-mail address and the code message.
  • Google / Apple / LINE: only if you choose to sign in with them, under their own privacy policies.

Wahouse contains no advertising, analytics or behavioural-tracking SDKs.

5Where your data is stored

Our servers and database are in Tokyo, Japan. If you use Wahouse from another country or region, your information is transferred to Japan to be stored and processed. By continuing to use the service you acknowledge and agree to this.

6How long we keep it

  • We keep your data for as long as your account exists.
  • After you delete your account, we handle it as described in Delete your account and data: business data is permanently deleted, the photos and files you uploaded are deleted with it, and the account record is anonymised.
  • Access logs are kept for 12 months; backups are overwritten within 30 days.

7Your rights

  • View every record you have entered; delete transactions, scheduled charges and documents; archive properties; and export your ledger and annual reports.
  • Delete your account at any time in the app's Settings, or request it by e-mail as described in Delete your account and data.
  • Turn off notifications in your system settings to stop receiving push reminders.

8How we protect your information

  • All traffic is encrypted with HTTPS.
  • ID numbers are always masked externally; ID photos load only when you open them on the detail page.
  • When our staff look at your data they must record a reason, and every access is logged. They can only see aggregate figures — not your transactions, bills or tenant details.

9Children

Wahouse is intended for adults who let property and is not directed at anyone under 18. If you believe we have collected information from a minor by mistake, contact support@wamate.net and we will delete it promptly.

10Changes to this policy

When we update this policy we will publish it on this page and change the date above.
